Reservation
features:
(1)
MotelPC software provides reservations to any date to
year 2099.
(2) 1 - 900 rooms
in maximum 10 floors, maximum 99 rooms per
floor.
(3) Room pricing can
be by room/season, by tariff type or manual entry.
(4) Seasons are High,
Mid, Low ie. 3 prices, if by room tariff rate.
(5) All bookings, for any
date, are displayed on a reserve screen showing
dates, rooms, booking status.
(6) Guests can be swapped
or transferred in rooms by simple mouse clicks
(7) Any past, current or
future guest can be located by name or date/room
(8) At booking time, minimal
information can be entered, allowing fast
telephone booking. No Show and Cancelled guests are
easily identified.
(9) Guest history can
be held indefinitely, for later repeat guest
marketing and ease of repeat reservation entry.
(10) Group reservations are easily
entered via repeat reservation facility.
(11) Reserve guests a guest, you
can either mark the dates and room or select an
available room of the required type for arrive/depart
dates entered.
(12) Walk in guests can be reserved,
registered in one step. Rate charged and settled
at checkin/arrival if required.
(13) Stay 'packages' can be
permanently created, and used for guest item charges;
Example: Weekend Get Away @ $150.00
(14) Early departure, is
identified at guest checkout/settle, room is made
available for unused portion of booking.
(15) Guest Registration Slips can
be forward printed for any date
Guest
Accounting:
(1)
All guest charges are itemised, GST/VAT separately
shown.
(2)
Payments can be mixture of cash, cheque, credit/debit
card or account (city ledger). Payments can be
part paid during stay.
(3)
QuickBill facility allows one step
accommodation pre-payment or check out account
settlement.
(4)
Quotes can be printed at booking time,
requesting deposit and confirming stay charges.
(5)
Deposit receipt or Confirmation slip
confirming reservation details can be optionally
printed.
(6)
Guest charge/payment detail is retained in history
(7)
2nd line note can be
optionally added to guest charges detail
(8)
Agent commission deducted from deposit
payment, and agent fee owing is provided.
(9)
Discounts, reversals and amended charge items
are quickly handled.
(10)
Guest statement quickly printed pre/post guest
payment. Guest account itemises charges, deposits
and payments, provides summary totals of Room/Food&Bev/Telephone&Fax/Other.
(11)
Guest departing on a day are automatically
listed for easy selection to settle account.
Room
Management:
(1) Housekeeping
is assisted via arrive/depart lists and housekeeping
reports. Three service levels are able to be
scheduled.
(2) Room
maintenance is assisted via room notes and out of
use date scheduling making room not available.
(3) Room standard
and type and name are modifiable.
(4) Rooms are able
to be quickly marked Out of Order/Room on
Hold
3rd
Party, City Ledger Accounts:
(1) Specific
accounts can be created for Credit/ Debit cards,
Owners, Agents and 'Bill To' corporate accounts.
(2) Guest
total can be partially or fully transferred to 3rd
party accounts. GST is separately sub-totalled on guest
transfer to 3rd party
corporate accounts.
(3) Credit/Debit
cards payment receipts can be optionally itemised
in banking reconciliation slip, ie. shown as
'Bank Drawn' cards.
(4) Account
statements are printed as Itemised invoices, Arrears
statements or full transaction listing
(5) Account
payments are cash or cheque or card
(6) Discounts,
reversals and amendments are easily made.
